Archive or restore someone

Archive someone who has left so they can't be scheduled, while their history stays. Reactivate them from their record if they come back.

When someone leaves, archive them: they come off future scheduling, and everything they've done stays on record. If they come back, reactivate them. Organization owners and operations administrators can do this for anyone, and location managers for people whose home location they manage.

What archiving does

  • They can't be scheduled, and they're no longer offered when you assign shifts.
  • Shifts they hold in schedules that aren't published yet become unassigned. Published schedules keep them, so give those shifts to someone else. See Change a published week.
  • Time off and availability changes they've asked for that haven't been decided are canceled. A pending invitation is withdrawn.
  • Their timesheets, pay rates and request history are kept.
  • Their sign-in isn't touched. To stop them signing in too, revoke their account access. See Help someone who can't sign in.
  • Nobody is notified, including the person.

Archive someone

  1. In the left menu, select Organization, then People, then select the person's name.
  2. Select ⋯ (More actions) at the top right of their record, then Archive employee. The page moves to the Archive employee section.
  3. Select Archive employee, read the confirmation, then select Archive employee again.

A message confirms it, including any shifts that became unassigned and any requests that were canceled. Their record now says "Archived".

Find someone who's archived

In the People list, set Status to Archived. Archived people are also in the Archived section of the list of names, which starts closed. See Find people and export your roster.

Reactivate someone

  1. Open their record, select ⋯ (More actions), then Reactivate employee.
  2. Select Reactivate employee, then select Reactivate employee again to confirm.

The message says "Employee restored." They can be scheduled again at their locations. Their old shifts and canceled requests don't come back, so assign shifts again. If they never joined the app, send them a new invitation. See Invite your team to the app.

If someone who hasn't counted this billing period would be your 11th billable member, reactivating them needs billing set up first, as adding someone does. See Add people past the free plan.

Reactivating doesn't work while their home location, or every one of their positions, is archived. Give them an active home location or position under Assignments first. See Change someone's locations and positions.
